Key Points

  • Reducing time‑to‑fill helps protect patient care, limit staff burnout, and prevent lost revenue from unfilled provider roles.
  • Common delays include slow medical credentialing, manual sourcing processes, and poor communication between teams.
  • Streamlined locums recruiting uses automation, pre‑vetted provider pools, and clear workflows to speed hiring.
  • Auditing staffing processes and using data to identify bottlenecks can improve hiring efficiency.

Why Every Moment Counts

Every day that a physician or advanced practitioner position remains vacant is a day patient care is put at risk, staff burnout increases, and revenue slips away. For administrators and recruiters, the pressure to fill roles quickly isn’t just about protecting profit. It’s about lives, morale, and keeping doors open. Yet, facilities across the country still have trouble with lengthy time-to-fill due to bottlenecks like slow medical credentialing, manual sourcing, and communication breakdown.

We understand these challenges. That’s why our approach looks at the full picture and helps you overcome your facilities challenges so that you can focus on delivering care and keeping your staff safe.

The Bottlenecks: What's slowing you down?

Medical credentialing delays.

Credentialing is essential, but it can often be the slowest part of the process. Manual paperwork, inconsistent requirements, and back-and-forth with providers can add weeks to your timeline.

Manual sourcing inefficiencies.

Relying on outdated processes or cold outreach may mean you’re always starting from scratch. Without a pre-vetted pool of talent, starting a search can feel like a massive hurdle. The best healthcare recruitment partners know how to leverage technology, billing modifiers, and relationships to keep a steady pipeline of providers ready to work at your facility.

Poor communication.

When recruiters, credentialing teams, and providers aren’t on the same page, small missteps can evolve into major delays. Clear and proactive communication is the key to keeping the process moving. In our experience, the most successful organizations are those that prioritize transparency and regular updates throughout the recruitment process.

The Cost of Delays: Patient Care, Staff Burnout, and Revenue

Time-to-fill isn’t just another metric. It’s a measure of your facility’s ability to take the steps necessary to keep care consistent. Every day there are roles that go unfilled, and patient care can suffer. Staff are stretched thin, leading to burnout and turnover. Revenue is also impacted as services are delayed or canceled. With staffing shortages and rising competition, these risks are too great to ignore.

Take the First Steps

  1. Audit Your Current Locums Process: Identify where delays are happening the most. Is it physician credentialing, sourcing, or communication? Use data to pinpoint bottlenecks and set benchmarks to measure improvement.

  2. Engage with Experts: Partner with a locums agency that understands sourcing best practices, the provider credentialing process, and prioritizes clear communication. Our consultative approach means you are presented with more than just candidates. You are also gaining a strategic staffing partner.

  3. Leverage Technology: Use automation where possible to reduce manual work and speed up the process. Digital credentialing platforms, applicant tracking systems, and communication tools can make a measurable difference.

  4. Build Relationships: Maintain open lines for communication with your agency and your locum tenens providers. Schedule regular check-ins to see how the clinicians are fitting in, provide consistent updates, and practice collaborative problem-solving with your agency for success.
